Welcome to RoomKeyPin — a smart accommodation management system designed to help hosts and guests manage reservations, check-ins, and smart locks seamlessly. By using our web app, you agree to these Terms of Use. Please read them carefully before accessing or using any part of the platform.

1. Acceptance of Terms

By accessing or using RoomKeyPin, you acknowledge that you have read, understood, and agree to be bound by these Terms of Use, our Privacy Policy, and all applicable laws and regulations. If you do not agree, you should discontinue use of the platform immediately.

2. Purpose of the Platform

RoomKeyPin provides property owners and guests with tools to manage reservations, automate check-ins, generate smart lock PINs, and securely store guest identification. We are not a booking agent, payment processor, or travel intermediary. All financial transactions and booking data originate from external platforms such as Booking.com or Airbnb.

3. User Responsibilities

• You must be at least 18 years old to use this platform.
• You agree to provide accurate and truthful information when using any RoomKeyPin service.
• You must not misuse or interfere with the security or functionality of the system.
• You are responsible for maintaining the confidentiality of your account credentials, if applicable.
• You may not use RoomKeyPin for any unlawful, misleading, or unauthorized activity.

4. Booking & Guest Information

Guest data displayed or managed through RoomKeyPin originates from third-party booking sources such as Booking.com or Airbnb. While we enrich and automate these details for convenience, we do not alter or independently verify booking authenticity. RoomKeyPin does not collect or process any payment data.

5. ID Uploads & Verification

Guests may be asked to upload valid identification documents (e.g., passport or driver’s license) during the check-in process for verification and compliance purposes. These uploads are securely stored on Cloudinary using private, encrypted storage. Guests may request deletion of their uploaded ID at any time by contacting easybulb@gmail.com.

6. Intellectual Property

All software, designs, databases, text, logos, and content within RoomKeyPin are the intellectual property of RoomKeyPin and are protected by copyright, trademark, and international laws. You may not copy, reproduce, distribute, or create derivative works without written permission.

7. Limitation of Liability

RoomKeyPin is provided “as is” and “as available.” While we make every effort to ensure reliability, we make no warranties or guarantees of uninterrupted service or error-free operation. We are not responsible for loss of data, access failures, or third-party service outages (e.g., Booking.com, Twilio, TTLock, or Cloudinary).

To the fullest extent permitted by law, RoomKeyPin shall not be liable for any indirect, incidental, or consequential damages resulting from your use of the platform.

8. Third-Party Integrations

RoomKeyPin integrates with trusted third-party providers including Booking.com, Airbnb, TTLock, Twilio, Cloudinary, and Ticketmaster. Each of these services operates under their own terms and privacy policies. We are not responsible for the performance, data handling, or availability of these external services.

9. Termination

We reserve the right to suspend or terminate access to RoomKeyPin at any time for violation of these Terms, misuse of the system, or as required by law. Upon termination, your right to access and use the platform ceases immediately.

10. Modifications to These Terms

We may modify or update these Terms of Use periodically to reflect system updates, new features, or legal changes. When significant changes occur, we will update the “Last Updated” date at the top of this page and, where required, notify active users via email or in-app message.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
